Office and Operations Coordinator

Pay: $20–$25/hr, depending on experience


Schedule: Part-time, 24 hours/week (Mon–Thurs, 9am–3pm; occasional calls outside these hours)

About Great Bear Native Plants

Great Bear Native Plants is a family-operated, woman-owned nursery in Corvallis, Montana. We grow containerized native plants for projects ranging from home landscapes to large-scale restoration and mine reclamation. Our mission is to make the world a better place by:

We’re excited to bring on a new team member who will serve as a steady administrative and operational presence. This role keeps the business running smoothly—coordinating shipping and receiving, supporting customers, maintaining office systems, updating the website, assisting with billing, and handling special projects. No two days will be the same, and creative problem solving is a big part of the job.

This position also includes opportunities to work in the greenhouses or with outdoor inventory to better understand the nursery operation (and to get out of the office every now and then!).
After an introductory period, hybrid work—with up to one day/week from home—may be considered.

What You’ll Lead

These are areas where you’ll be the primary owner:

  • Invoicing customers and paying bills

  • Organizing receipts and matching transactions in QuickBooks Online

  • Creating timecards and preparing payroll information

  • Managing the GBNP website, including online store updates, periodic blog posts, and content refreshes

  • Coordinating shipping and receiving with customers and vendors (experience not required—we will train!)

  • Managing office supplies and placing orders as needed

  • Ensuring licenses, memberships, and registrations are current

How You’ll Support the Team

You’ll collaborate with other staff and assist with:

  • Native plant sales to small businesses, nonprofits, and restoration projects

  • Special projects (e.g., plant packs, partnerships with stewardship groups, catalog/data-entry tasks, research)

  • Data entry and inventory projects as directed

  • Proofreading, editing, and formatting documents,  contracts and agreement

  • Event and meeting planning

  • Travel coordination and document preparation

  • Ordering production supplies, office supplies, branded merchandise, and resale items

  • Organizing and maintaining digital assets and files

  • Posting job descriptions and reviewing candidates, as directed

Skills & Experience We Hope You’ll Bring

  • Experience with QuickBooks, word processing, spreadsheets, and basic website management

  • 1+ year in an administrative, office, or operations role

  • Valid Montana driver’s license and vehicle access

  • Excellent written and verbal communication skills

  • High level of organization and attention to detail

  • Ability to take initiative and follow tasks through to completion

  • Comfortable juggling multiple requests and setting priorities

  • Team-oriented mindset

  • Ability to lift large packages and assemble or disassemble items as needed
